01 Introduction
This Privacy Policy explains how SEOS HUT LTD ("SEOs Hut", "we", "us" or "our") collects, uses, stores and protects your personal information when you visit seoshut.com, use our free audit tools, contact us, or engage us for our services.
SEOS HUT LTD is a private limited company registered in England & Wales (company number 15529926), with its registered office at 2nd Floor, College House, 17 King Edwards Road, Ruislip, London, England, HA4 7AE. We trade under the name SEOs Hut.
For the personal data described in this policy, SEOS HUT LTD is the data controller. We are committed to handling your information responsibly and in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
By using our website or services, you confirm that you have read and understood this policy. If you do not agree with it, please do not use our website or services.
02 Information We Collect
We only collect information we genuinely need. This falls into two categories.
a. Information you give us
- Enquiry & contact forms — your name, email address, phone number, business name, website address, and anything you write in your message.
- Free SEO & AI audit tool — the website domain or URL you submit so we can run your audit.
- Correspondence — the content of emails, WhatsApp messages, Messenger chats and calls you exchange with us.
- Client onboarding — if you become a client, we collect business details, marketing goals, brand assets, photos and videos of your work, and (where required to deliver the service) access to platforms such as your website, Google Business Profile, Google Analytics or Google Ads accounts.
- Billing information — your name, billing address and invoice details. Card payments are handled by third-party payment providers; we do not collect or store full card numbers.
b. Information collected automatically
- Usage & analytics data — pages viewed, time on site, the source that referred you, approximate location, and your device, browser type and IP address. This is gathered through cookies and similar technologies (see Section 3).
We do not knowingly collect special category data (such as health, religion or biometric data), and we ask that you do not send it to us.
03 Cookies & Analytics
Our website uses cookies and similar technologies. A cookie is a small text file stored on your device that helps a website function and helps owners understand how it is used.
We use:
- Essential cookies — required for the website to load and operate securely.
- Google Analytics (GA4) — to understand how visitors find and use our website so we can improve it. This sets analytics cookies and collects usage data.
- Google Ads — conversion tracking and remarketing tags that help us measure and improve our advertising. These may set advertising cookies.
You can control or delete cookies through your browser settings. You can opt out of Google Analytics using the Google Analytics Opt-out Browser Add-on, and you can manage ad personalisation in your Google Ads settings. Blocking non-essential cookies will not stop you using the core parts of our website.
This section is our full cookie disclosure — we do not operate a separate cookie policy page.
04 How We Use Your Information
We use the information we collect to:
- Respond to your enquiries and deliver the free audit you request.
- Provide, manage and improve the services you engage us for.
- Prepare proposals, issue invoices and process payments.
- Communicate with you about your project, account and our work.
- Understand and improve our website, services and customer experience.
- Send marketing updates — only where you have consented or where we are otherwise permitted to, and always with an easy way to opt out.
- Meet our legal, tax and accounting obligations, and protect against fraud or misuse.
05 Our Lawful Bases for Processing
Under UK GDPR, we must have a valid lawful basis to process your personal data. Depending on the situation, we rely on the following:
| Lawful basis | When we rely on it |
|---|---|
| Consent | Sending marketing emails and setting non-essential analytics or advertising cookies. |
| Contract | Delivering the services you have engaged us for and processing related payments. |
| Legitimate interests | Responding to enquiries, running and improving our website and services, and keeping our systems secure — balanced against your rights. |
| Legal obligation | Keeping financial and tax records and complying with other legal requirements. |
Where we rely on consent, you can withdraw it at any time without affecting processing that took place before withdrawal.
06 How We Share Your Information
We do not sell your personal data. We share it only where necessary, and only with:
- Trusted service providers who help us operate — for example website hosting, email, analytics (Google), payment processors, and project or CRM tools. They may only use your data to provide their service to us.
- Professional advisers such as our accountants or legal advisers, where reasonably required.
- Authorities or regulators, where we are legally required to disclose information.
- A successor, if our business is reorganised, merged or sold — in which case your data would remain protected under this policy.
Every provider that handles personal data on our behalf is required to keep it secure and use it only for the agreed purpose.
07 International Data Transfers
We are based in the United Kingdom. Some of our service providers — such as Google — process data on servers located outside the UK, including in the United States.
Whenever personal data is transferred outside the UK, we make sure it is protected by an appropriate safeguard recognised under UK data protection law, such as UK adequacy regulations or the International Data Transfer Agreement / UK Addendum to the Standard Contractual Clauses.
08 How Long We Keep Your Data
We keep personal data only for as long as we need it:
- Enquiries that don't become projects — kept for a reasonable period in case you get back in touch, then deleted.
- Client records — kept for the duration of our engagement and afterwards as required by law. UK tax law generally requires financial records to be kept for at least six years.
- Marketing data — kept until you unsubscribe or ask us to stop.
When data is no longer needed, we securely delete or anonymise it.
09 How We Protect Your Data
We use appropriate technical and organisational measures to keep your information safe — including encrypted (HTTPS) connections, access controls that limit who can see your data, and trusted, reputable service providers.
No method of transmitting or storing data over the internet is completely secure. While we work hard to protect your information, we cannot guarantee absolute security, and you share information with us at your own risk.
10 Your Privacy Rights
Under UK GDPR, you have the right to:
- Be informed about how your data is used — which this policy provides.
- Access the personal data we hold about you.
- Rectify data that is inaccurate or incomplete.
- Erase your data ("right to be forgotten"), where applicable.
- Restrict or object to certain processing, including direct marketing.
- Data portability — receive your data in a portable format.
- Withdraw consent at any time, where processing is based on consent.
To exercise any of these rights, email us at help@seoshut.com. We will respond within one month. There is normally no charge.
If you believe we have not handled your data properly, please contact us first so we can put things right. You also have the right to complain to the UK's data protection regulator, the Information Commissioner's Office (ICO), at ico.org.uk.
11 Third-Party Links
Our website and content may link to third-party websites and tools that we do not control. This Privacy Policy does not apply to those sites. We encourage you to read the privacy policy of any website you visit through a link from ours.
12 Children's Privacy
Our website and services are intended for businesses and for adults aged 18 and over. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us and we will delete it.
13 Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology or the law. The "last updated" date at the top of this page shows when it was last revised. Where changes are significant, we will take reasonable steps to make them clear. We encourage you to review this page periodically.
